1. Overview

Rentalistry ("we," "us," "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices and rights that may be available to you. Rentalistry is a rental property management platform used by landlords, property owners, tenants, applicants, and related users.

2. Information We Collect

We may collect: (a) account information, such as name, email address, phone number, authentication details, account role, and security settings; (b) property and listing information, such as property addresses, units, descriptions, photos, rental amounts, availability, and listing status; (c) tenant and lease information, such as tenant names, contact details, lease dates, rent amounts, deposits, balances, payment records, notices, and lease documents; (d) rental application information, such as applicant name, email, phone number, current address, desired move-in date, household size, employer, income, employment length, references, notes, application status, and related communications; (e) uploaded files, such as leases, IDs, pay stubs, receipts, maintenance photos, inspection files, application documents, and other documents users choose to upload; (f) maintenance, inspection, expense, report, and communication records; and (g) usage, device, and security data, such as IP address, browser type, device information, pages visited, feature usage, log data, cookies, session data, and approximate location inferred from technical information.

3. Sources of Information

We collect information directly from you when you create an account, submit an application, enter property or tenant records, upload documents, send messages, submit maintenance requests, or contact us. We may also receive information from landlords, property owners, applicants, tenants, service providers, and automated technologies such as cookies, logs, and similar tools.

4. How We Use Your Information

We use information to provide, operate, secure, and improve the Service; create and manage accounts; support landlord, tenant, applicant, lease, listing, document, maintenance, inspection, rent, expense, and reporting workflows; send transactional emails such as verification codes, invitations, application updates, lease reminders, maintenance updates, and receipts; respond to support requests; troubleshoot and prevent fraud, abuse, and security incidents; maintain records; comply with legal obligations; and communicate about product updates or marketing where permitted.

5. How Information Is Shared

We do not sell personal information. We may share information: (a) with landlords, property owners, applicants, tenants, or other users as needed for the workflows they participate in; (b) with service providers that help us host, secure, email, store, analyze, support, or operate the Service; (c) with payment providers if payment features are used; (d) with law enforcement, regulators, courts, or other parties when required by law or to protect rights, safety, and security; and (e) with a successor or potential successor in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

6. Landlord, Tenant & Applicant Visibility

Rentalistry is designed to let users share rental information with the people involved in a property, lease, application, or maintenance workflow. For example, a landlord may view application materials submitted for that landlord's property; a tenant may view information made available in the tenant portal; and an applicant may view their application status and uploaded documents. Users should avoid submitting sensitive information unless it is needed for the relevant rental workflow.

7. Uploaded Documents & Sensitive Information

Uploaded documents may contain sensitive personal information, such as identification documents, income records, financial details, signatures, or other information chosen by the uploader. Rentalistry does not require you to upload Social Security numbers unless a landlord or workflow specifically asks for a document that contains them. Before uploading, consider redacting information that is not needed. Landlords and property owners are responsible for requesting, using, storing, and deleting applicant and tenant documents in compliance with applicable law.

8. Cookies & Similar Technologies

We use cookies and similar technologies to keep you signed in, protect sessions, remember security or preference settings, understand feature usage, improve performance, and help secure the Service. See our Cookie Policy for more information.

9. Data Retention

We retain information for as long as needed to provide the Service, maintain records, comply with legal, tax, accounting, security, and operational obligations, resolve disputes, enforce agreements, and support legitimate business needs. Some information may remain in backups or archives for a limited period. We may be unable to delete certain records immediately if retention is required or permitted by law, needed for accounting or dispute purposes, or controlled by another user such as a landlord or property owner.

10. Security

We use technical and organizational safeguards designed to protect personal information, including encrypted connections, password hashing, multi-factor authentication features, role-based access controls, and access restrictions. No method of transmission, storage, or security is 100% secure, and we cannot guarantee absolute security.

11. Your Privacy Rights

Depending on your location, you may have the right to access, know, correct, delete, or receive a copy of certain personal information; object to or restrict certain processing; opt out of certain sharing or targeted advertising; limit use of sensitive personal information; and not be discriminated against for exercising privacy rights. To exercise rights, email contact@rentalistry.comwith the subject "Privacy Request." We may need to verify your identity before responding.

12. California Residents

California residents may have rights under the California Consumer Privacy Act, as amended, including the rights to know, access, delete, correct, opt out of sale or sharing, limit use of sensitive personal information, and non-discrimination. 13. Marketing Communications

You may opt out of marketing emails at any time by using the unsubscribe link in a marketing email or by contacting us. Opting out of marketing emails does not stop transactional or service-related messages, such as account security emails, verification codes, application updates, lease reminders, maintenance updates, tenant invitations, or other messages necessary to provide the Service.

14. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us immediately.

15. Changes

We may update this policy and will notify you by email or a notice on the Service. Continued use after changes constitutes acceptance.
